Dates scroll away, RSVPs are thumbs-up emojis and every member sees every phone number. There is a calmer way to organize the meetings.
WhatsApp is free, already on every phone, and for chatting it is hard to beat. It was not made for running a group: no member list you control, every phone number visible to everyone, and nothing a newcomer can find.
Many groups keep their chat and move only the organizing: events with RSVPs, reminders and a public page on MeetAgain, for €6.00 a month for the whole group. Members never pay.

Your members keep chatting where they like. The dates, the RSVPs and the newcomers move to one page.
Create one event or a whole series with a single rule - every Thursday, every first Friday of the month - with venue and time, and the dates fill themselves in months ahead. Each event gets its own page with the date, the place and who is coming, so nobody scrolls back through the chat for last week's address.
Post the group link in the chat once and pin it. From then on the chat can stay what it is good at - talking - while the dates live in one place that newcomers find without an invite.
Members open the event and tap Add me - that is the RSVP. Their name and photo appear in the list of who is coming, and anyone bringing a friend adds them as a guest, so the count includes the plus-ones.
No more counting thumbs-up emojis or asking in the chat who is in. If plans change, a member takes the RSVP back with the same button, and you see the real number before you book the table.
Each member picks the emails they want: a reminder on the day of an event they said yes to, a weekly overview of what is coming up, and a note when an event they joined changes. One switch turns all of it off.
That replaces the organizer's weekly reminder post and the ten replies under it. Members who live by their calendar subscribe to the group's calendar feed instead, and the dates update there on their own.
There are no phone numbers on MeetAgain. Members sign up with an email address that other members never see, and each of them decides whether website guests see them on the members page and whether others may tag them in photos.
Maps on event pages load from OpenStreetMap only for members who switch them on, and members choose whether others may invite them to groups. For a club that has to think about the GDPR, that is a much shorter list of worries than a chat that shows every number to everyone.
It is a grey area that German state sports federations and data protection authorities have written about: a group shows every phone number to every member, and the app reads the address book. Many clubs keep the chat voluntary and do their official communication elsewhere. This is not legal advice - ask your data protection contact.
No. Most groups keep the chat for chatting and use MeetAgain for dates, RSVPs and the public page.
An email address and a browser. There is an Android app for those who want one.
